The intern in this program will handle several Human Resources related duties within the HR Department. May be assigned to an HR Project for research and development. This position will offer the successful candidate the opportunity to develop an understanding of the Oil & Gas industry and advanced human resources management techniques. Bilingual (English/Spanish preferred)
Essential Duties and Responsibilities:
This position is responsible for the following: Other duties may be assigned.
- First point of contact to greet visitors, applicants, answer telephones, provide information to visitor/caller when appropriate, direct to appropriate HR personnel and/or take messages when necessary. Coordinate department meetings and schedules; ensure smooth office operations.
- Examine employee files to answer inquiries related to personnel data and provide information for personnel actions, as well as locating and attaching appropriate files to incoming correspondence requiring replies. Assist with preparation of papers and presentations for the assigned Manager.
- Review and evaluate mail to identify those items requiring priority attention of the team.
- Maintain filing systems for records, correspondence, and other material.
- Independently respond to letters and general correspondence of a routine nature.
- Make travel arrangements, primarily for executives.
- Make copies of correspondence or other printed material as requested (including Newsletters) Coordinate purchasing of office supplies, etc. with all department heads (distribute office supplies as needed).
- Pick up and drop off US Mail, FedEx, etc. as needed.
Required Education & Experience:
- Associates Degree in Business Administration and/or equivalent work experience.
- Three (3) or more years’ experience in office administrative support.
- Strong knowledge of MS Office, including Word, Excel, PowerPoint.
Working Conditions:
- Must possess mobility to work in a standard office setting and use standard office equipment and be able to attend meetings at various sites within and away from office.
- Strength to lift and carry materials weighing up to 20 pounds.
- Vision to read printed materials and a computer screen, including the ability to look at a computer screen for at least eight hours each day.
- Hearing and speech to communicate in person and over the telephone
- Regular exposure to all weather conditions, especially hot, humid and/or rainy weather, combined with regular work time indoors in environmentally controlled conditions.
